Cancellation, Late, and Missed Appointment Policy
Life is busy and things happen! But missed or cancelled appointments can take appointment time away from someone else and the practitioner. If you need to cancel your appointment, please make every effort to cancel or reschedule as soon as possible. There is a 48-hour cancellation window, excluding two extenuating circumstances (family tragedy or hospitalization). If you fail to cancel or reschedule within 48 hours of your appointment, your credit card will be billed for half the appointment fee.
Failure to show to your appointment without notification of cancelling will result in a full appointment fee to the provided credit card. Insurance companies do not provide coverage for missed appointment fees.
If you are late to your appointment the full appointment fee will still be charged. If your dietitian is late to your appointment, your appointment fee will be reduced to reflect the reduced appointment time, or your practitioner will extend the appointment time.
Payment and Refund Policy
A valid credit card must be provided at the time of booking. Payment will be accepted before the appointment via credit card or immediately upon completion of the appointment. There are no extenuating circumstances accepted for the failure to pay for the services provided, and your credit card will be charged. Private health insurance benefits often cover the entirety of the services, but occasionally will only cover a portion of the services, e.g. 90%, the remaining 10% would then be the responsibility of the client. Refunds will not be issued for provided services.
Insurance Policy
The virtual software (Jane App) offers direct billing to numerous insurance providers. If your insurance provider is not on that list you will be provided with a receipt to submit to your insurance provider. It is your responsibility to submit this receipt. It is your responsibility to ensure your insurance provider provides coverage for dietitian services and to understand the percentage they cover.
Electronic Counselling Policy
Electronic or virtual counselling is a relatively new but common form of counselling in nutrition. This form of counselling offers flexibility and comfort to the client, but there are also security and privacy concerns when delivering electronic counselling. All efforts will be made to ensure electronic sessions mirror that of an in-person session regarding privacy, quality, professionalism, ethics, and safety.
Consent is required to communicate electronically (email, text message). Communication in electronic forms will be for professional purposes only. Any communications sent to the provided contact information will be assumed to be your personal and confidential phone number/email.
Virtual counselling platforms that are PIPPA compliant will be used. The Dental Dietitian Inc. uses the Jane App. Platforms that are not compliant will not be used for professional communication, e.g. Facetime or Skype.
Dietitians are limited based on the different provincial regulatory bodies to where they can provide virtual services. The Dental Dietitian is located and registered in Alberta and can provide care to clients with an Alberta address but may be able to provide virtual services to clients with an address in Saskatchewan, Manitoba, Quebec, New Brunswick, Nova Scotia, and Newfoundland and Labrador.
Personal health advice will not be provided over social media.
Complaint Policy
The College of Alberta Dietitians has set Standards of Practice that outline professional, safe, and ethical practices for dietitians. If you feel that the services you received were not provided in a safe, professional, or ethical manner you can submit a complaint to the Complaints Director of the College.
If you believe every effort was not made to keep your personal information private and confidential you are eligible to file a complaint with the Privacy Commissioner of the Health Information Act.
If you requested to review your health information and have not been informed of a decision within 30 calendar days of your request, you are eligible to file a complaint with the Privacy Commissioner of the Health Information Act.
